Before Repo is a service operated by Optima Towing. This Privacy Policy explains what information Before Repo collects, how that information is used and stored, and the choices you have. By using the website, the intake form, the CRM, our messaging channels or any related service, you agree to the practices described here.

Information We Collect

Before Repo collects information that you provide directly and information that is generated automatically when you interact with our service. This information is collected for operational coordination, documentation, pickup, delivery, dispute prevention, legal protection, compliance review and vehicle return assistance.

  • Customer contact information including full name, phone number, email, address, city, state, preferred language and preferred contact method.
  • Vehicle information including year, make, model, color, VIN, license plate, vehicle location, condition, drivable status and key availability.
  • Driver and access information including the name of the person driving or controlling the vehicle, their phone, their relationship to the customer, and whether they are authorized to release the vehicle.
  • Keys information including who has the keys and where the keys are stored.
  • Mileage information when provided.
  • Insurance information including whether the vehicle is insured, the insurance company name, the policy status and accident or claim disclosure.
  • Accident and insurance claim information including accident date, whether an insurance claim was filed, whether an open claim exists and whether insurance money was received without repairing the vehicle.
  • Lender information including the name of the finance company, return location, account reference numbers when provided and any return instructions you share with us.
  • Operational value information when provided by the customer or lender, including payoff, loan balance, estimated vehicle value and MMR auction reference. This information is stored for internal documentation only and is never used to provide advice to the customer.
  • Documents you upload, including photos of the vehicle, photos of keys, mileage photos, VIN photo, license plate photo, registration photo, insurance card photo, damage and accident photos, repair estimates, insurance claim documents, lender instructions, signed authorizations, payment receipts, pickup receipts and delivery confirmations.
  • Payment related information limited to the metadata required to record that a payment was made (status, amount, method label and any payment link reference). Card numbers and bank credentials are not collected by Before Repo.
  • Digital signature information captured during agreement signing, including the typed or drawn signature, timestamp and IP address used to sign.
  • Service interaction information including the timestamps of intake submissions, status changes, messages and document uploads.
  • CRM activity logs documenting each operational action taken on the case.
  • Technical information including IP address, user agent, basic device information and activity logs that help us secure the service and respond to disputes.

How We Use Information

We use information to operate, deliver, document and improve the service. Specific uses include:

  • Coordinating pickup, transportation, documentation and voluntary vehicle return services.
  • Confirming your identity and your authority to request assistance for the vehicle.
  • Communicating with you by phone, text, WhatsApp or email about your case.
  • Recording the condition of the vehicle, the keys, the mileage, the pickup location and the delivery location for documentation purposes.
  • Processing payments and recording their status.
  • Detecting and preventing fraud, abuse, unsafe situations and unauthorized requests.
  • Complying with legal obligations and responding to lawful requests.

How We Store Information

Your information is stored in Before Repo's internal CRM system and supporting infrastructure. Documents and photos uploaded for your case are stored securely and are accessible only to authorized team members.

We retain case data for as long as needed to provide the service, document the case, comply with legal requirements and protect against future disputes. Inactive case records may be archived rather than deleted.

Sharing of Information

Before Repo does not sell your personal information.

Information is shared only when needed to deliver the service or as required by law. Specifically:

  • With towing partners and drivers responsible for executing the pickup, transport and delivery, limited to the data they need to perform the work.
  • With the lender or finance company only when you have authorized that contact or when sharing the information is necessary to complete the voluntary return at the lender's designated location.
  • With service providers that help us operate the platform, such as hosting, email and customer messaging tools, under confidentiality obligations consistent with this policy.
  • With professional advisors, courts, regulators or other parties when required to comply with legal obligations or to protect rights, property or safety.

Customer Rights

You may request a copy of the information we hold about your case, ask us to correct inaccurate information or ask us to delete information that is no longer required for service or legal reasons. Some records, such as signed authorizations, photos of the pickup and delivery, payment records and dispute related materials, may be retained for legal and accounting reasons even after a deletion request.

Data Security

We use industry standard practices to protect your information, including access controls, encrypted transport, hashed admin credentials, isolated file storage per case, audit logs and limited access for staff. No system can be perfectly secure, and we cannot guarantee absolute security.

Children's Privacy

Before Repo does not knowingly collect information from children. The service is intended for adults who are authorized to request assistance for a vehicle.

Changes to This Policy

This policy may be updated from time to time. The most recent effective date is shown at the top of this page. Continued use of the service after an update means that you accept the updated policy.
